You open Copilot Researcher once, type something in, get a report back, and think: “Cool.” Then you close it and go back to Copilot Chat.
That’s the mistake most people make. They try Researcher once and never really use it again. Which means they’re missing the actual point of the tool. Let’s unpack it.
❓ What it is
Researcher isn’t just a smarter version of normal Copilot Chat. It’s a different tool for a different job.
Copilot Chat is built for speed. Quick answers, fast summaries, short drafts. It’s optimized to respond in seconds and that’s exactly right for most everyday tasks.
Researcher is built for depth. It takes longer on purpose. It runs a structured, multi-step research process, iterating until it’s confident it has covered the topic properly. The result isn’t a chat response. It’s a structured report, with sources, organized sections and findings you can actually share or build on.
The underlying default model is OpenAI’s deep research model which is integrated directly into Microsoft 365. That means it can pull from the web and from your work data: Emails, Teams chats, SharePoint files, meeting recordings. All within your organization’s existing permissions and compliance boundaries.
How it works
In Microsoft 365 Copilot, look to the left sidebar. Under Agents, you’ll find Researcher. One click and you’re in.

Step 1 – Insert your prompt
Type what you need to understand. Could be a market, a competitor, a topic, a customer or similar. Hit Enter. Researcher won’t just run immediately, it’ll ask a few clarifying questions first to sharpen the output. Answer them, or skip. Then it runs.

The more specific your prompt, the better the output. Instead of “research Microsoft Copilot”, try “give me a competitive overview of Microsoft Copilot vs Google Gemini for enterprise customers, focused on pricing and adoption.” Researcher works with what you give it, so give it something real to work with.
The easiest way to do that: paste your rough idea into Copilot Chat first and ask it to sharpen the prompt. 10% more effort upfront, noticeably better results on the other end.
#2 Tip
During the clarifying step, you can set the report length. Short (1–5 pages) if you want a quick brief. Long (5+ pages) if you need the full picture. Useful when you already know how much detail you actually need.

Step 2 – Enjoy your first Report
Researcher delivers a structured report, not a chat reply. Read it properly. The sources are cited, the sections are organized. If something needs more depth, ask a follow-up directly in the same session. Researcher keeps the context and goes deeper on demand.

Step 3 – Go deeper
Important: What Researcher delivers isn’t a finished asset. It’s a base document. All the research is done, the sources are there, the structure is in place. From here you decide what happens next. Open it in Pages and turn it into a proper document. Drop it somewhere you’ll actually use it later. Or stay in Researcher and ask follow-up questions to go deeper on specific parts. The hard work is done, what you do with it is up to you.

Researcher doesn’t hand you a chat reply. It hands you a document, structured sections, helpful visuals, cited sources and a clear summary at the top. Something you can actually read, reference or use for further investigations. A finished piece of research, ready to use.

Researcher sounds like a premium add-on feature. Something you pull out for big strategic projects. And that framing is exactly why most people underuse it.
The better mental model: use it any time you need to understand something properly before making a decision or having a conversation. New customer. New topic. New competitor. New technology you’re being asked about. The barrier to getting a real, structured answer just dropped significantly. You don’t need to block off a morning to do your homework anymore.
That’s the shift. Not “AI does research now.” But: the cost of being properly prepared just got a lot lower. Use it accordingly.
